Business Office Manager Salaried Exempt Full Time Purpose of this position The purpose of this position is to develop, implement and maintain systems to operate the business office in an effective, efficient manner to operate the facility in a financially sound manner.
To maintain admission and financial systems in compliance with federal, state and local requirements.
Authority is delegated to the individual in this position to:
Develop, implement and maintain systems to collect, document accurate, complete admission data.
Develop, implement and maintain systems to assure prompt retrieval of resident information.
Develop, implement and maintain systems to assure confidentiality of resident information.
Determine the staffing needs of the business department and hire sufficient staff.
Develop and implement a monitoring system to assure compliance with federal, state and local requirements.
Develop and implement systems to operate the facility in a financially sound manner.
This position reports to:
Facility CEO The primary functions and responsibilities of this position are as follows:
Prepare budget for the business office.
Organize, direct and supervise business office functions.
Coordinate business office functions with other departments.
Work cooperatively with facility staff.
Evaluate the computer needs of the business office.
Orient, instruct and direct business office personnel.
Schedule hours and assign duties to business office personnel.
Supervise business office personnel and evaluate work performance.
Cross-train in maintaining adequate supplies and equipment for use in business office.
Prepare and submit reports on a timely basis to the governing body as required and as directed.
Compile and maintain accurate statistics as required.
Cross-train in maintaining the facility insurance program including workers' compensation, disability, health insurance, pensions and annuities as required and directed.
Keep informed on all local, state and federal requirements related to the business office.
Maintain an accurate resident census.
Handle all correspondence related to business office functions.
Verify resident accounts, verify charges and transmit accurate statements in a timely manner.
Maintain accurate resident accounts for Medicare, Medicaid and private residents.
Communicate and work cooperatively with fiscal intermediaries, accountants, auditors, cost report preparers and private insurance companies.
Communicate and work cooperatively with facility vendors, suppliers and contractors.
Develop an accurate accounts receivable documentation and retrieval system.
Develop an accurate accounts payable documentation and retrieval system.
Balance daily receipts.
Collect delinquent accounts.
Evaluate need for and refer delinquent accounts to collection agencies.
Organize a system for collection of accounts on a regular basis and when delinquent.
Interview residents' representatives to arrange payment methods.
Secure information on residents' financial status.
Evaluate residents' financial status and make appropriate recommendations to approve or disapprove extension of credit.
Cross-train in preparation of invoices for payment.
Reconcile bank statements.
Maintain accurate, neat, organized files of all business office records so that they may be promptly retrieved.
Cross-train in preparation and maintenance of time cards and time sheets.
Cross-train in calculation and recording of earnings and deductions.
Cross-train in preparation and distribution of payroll checks.
Cross-train in maintenance of group health insurance records.
Calculate and record vacation, holiday, sick leave, authorized overtime, leave of absence and termination pay for subordinate employees.
Interview, hire and terminate employees for the business office.
Analyze billings and submit appropriate statements to Medicare, Medicaid, private insurance companies or private paying entities.
File inquiries, reconsideration and appeals, to the appropriate agency or individual(s) for rejected statements.
Follow up on all account collection procedures.
Observe all facility safety policies and procedures.
Perform all duties assigned in an effective, timely and professional manner.
Observe infection control procedures.
Observe facility Residents' Rights policies and procedures.
Observe all facility policies and procedures.
Accept assigned duties in a cooperative manner.
Assume accountability for all data contained in the employees' handbook.
Assume Quality Assurance duties as assigned.
Perform other related duties as directed by the Administrator.
Come to work in neat, clean attire and consistently present an appropriate professional appearance.
Come to work as scheduled and consistently demonstrate dependability and punctuality.
Consistently work cooperatively with residents, residents' representatives, facility staff, physicians, consultants and ancillary service providers.
Must be able to push, pull, move and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
